This Privacy Policy governs the relationship between RELEAZ (a trading name of Digital Motive Ltd, a company registered in England and Wales with company number 14651724, whose registered office is at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom) ("Digital Motive," "we," "us," or "our") and users of the RELEAZ platform (the "Platform").

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and, where applicable, other regimes including the EU GDPR, applicable United States state privacy laws, Australian Privacy Principles, Canadian privacy legislation, and the Thailand Personal Data Protection Act (PDPA).

1. Data Controller

Digital Motive Ltd is the data controller for personal data processed in connection with creator accounts, Platform administration, and marketing attribution. Where a Creator enters Client contact details into a project, the Creator typically acts as an independent controller of that Client data; Digital Motive processes such data as a processor or service provider to operate the Platform features the Creator enables.

2. Categories of Personal Data

We collect only what is necessary to operate the Platform:

  • Identity and account data: name, email address, organisation name, professional profile information, and authentication credentials or tokens.
  • Project and delivery data: project titles, Client names and email addresses supplied by Creators, milestone descriptions and amounts, deliverable metadata, revision and meeting requests, and related communications.
  • Payment orchestration data: transaction amounts, currency, status, and identifiers issued by certified payment orchestrators. Cardholder data is collected and processed by those orchestrators; Digital Motive does not store full payment card numbers on Platform infrastructure.
  • Technical and usage data: device and browser type, IP address, security logs, and aggregated performance metrics where you consent to Performance/Analytics cookies (see our Cookie Policy).
  • Attribution data: campaign and referral parameters associated with account creation, used for product and marketing measurement, and stored only where you have accepted Performance/Analytics cookies (see Cookie Policy).

3. Purposes and Legal Bases

We process personal data to:

  • Provide, secure, and maintain the Platform (performance of a contract; legitimate interests in operating a secure service).
  • Authenticate users, prevent abuse, and protect the integrity of deliverables and payments (legitimate interests; legal obligation where applicable).
  • Send transactional notices such as portal invitations, payment confirmations, and support responses (performance of a contract; legitimate interests).
  • Enforce plan limits and Platform policies (performance of a contract; legitimate interests).
  • Improve reliability and user experience through aggregated analytics where consent is required (consent).
  • Comply with accounting, tax, and regulatory obligations (legal obligation).

We do not sell personal data.

4. Data Minimisation and Technical Safeguards

We apply data minimisation: we request only fields required for the relevant feature, retain data for defined periods, and purge deliverable objects after published download and storage windows where applicable.

Technical safeguards include encryption in transit, access controls, least-privilege administration, short-lived signed delivery tokens for file handovers, and masking of third-party cloud source locations so Clients do not receive raw storage URLs for connected integrations. These measures support our alignment with recognised information-security practice (including controls commonly associated with SOC 2 and ISO 27001 frameworks). No method of transmission or storage is completely secure; please report suspected incidents to support@releaz.app.

5. Authorised Third-Party Sub-Processors

We engage authorised third-party sub-processors and managed infrastructure partners to host, transmit, and process data on our behalf. Categories include:

  • Identity, authentication, and database hosting partners.
  • Certified payment orchestrators and merchant payout networks.
  • Object storage and edge delivery partners for file handovers.
  • Transactional messaging partners.
  • Application hosting and optional performance analytics partners.

Sub-processors act under contractual obligations requiring appropriate confidentiality, security, and, where required, international transfer safeguards. A current list of sub-processors is available on request to support@releaz.app.

6. Third-Party Cloud Integrations (Google & Dropbox)

The Platform provides optional integration features with third-party cloud storage providers, including Google Drive and Dropbox.

  • Data access: When you connect a cloud account, RELEAZ requests read-only access to specific files you select. Access is used solely to generate secure previews and to facilitate proxied delivery of those assets to your Clients.
  • Google API Limited Use: RELEAZ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
  • Data control: You may revoke RELEAZ's access at any time via the Platform's integration settings or your Google or Dropbox security settings. Revocation immediately ends the Platform's ability to index or proxy files from that source.

7. Client Portal Processing

Creators control which Client details they submit. Clients accessing a portal link typically do not require a RELEAZ account. Milestone payments are completed through certified payment orchestrators. Released files are delivered through the Platform's proxied handover mechanism; Clients do not receive raw Google Drive or Dropbox URLs for connected sources.

8. International Transfers

Personal data may be processed in the United Kingdom, the European Economic Area, the United States, and other jurisdictions where our sub-processors operate. Where required, we rely on appropriate transfer mechanisms (such as adequacy regulations or standard contractual clauses) and supplementary measures.

9. Retention

Account and project records are retained while your account remains active and for a reasonable period thereafter to resolve disputes and meet legal obligations. You may request account deletion from Platform settings. Payment and billing records may be retained as required for tax and financial compliance. Deliverable objects may be purged after published download and storage retention windows.

10. Your Rights

Subject to applicable law (including UK GDPR, EU GDPR, and Thailand PDPA), you may have the right to access, rectify, erase, restrict, or port your personal data, to object to certain processing, and to withdraw consent where processing is consent-based. You may also lodge a complaint with the UK Information Commissioner's Office or your local supervisory authority.

11. Children

The Platform is directed to professionals and businesses. We do not knowingly collect personal data from children under 16. If you believe a child has provided data, contact us and we will take appropriate steps.

12. Changes

We may update this Privacy Policy from time to time. The "Last updated" date indicates the latest revision. Material changes will be communicated through the Platform or by email where appropriate.
